This AI Chat Assistant Privacy Notice (this “AI Privacy Addendum”) supplements Roland Foods’ Privacy Policy and California Privacy Policy and describes how Roland Foods collects, uses, and discloses information when you interact with the [INSERT NAME OF SMS CHATBOT] (the “AI Assistant”).

SCOPE

This Addendum applies to information collected through AI Assistant interactions, including via SMS/text message and any related digital channels.

INFORMATION COLLECTED VIA THE AI ASSISTANT

When you use the AI Assistant, Roland Foods may collect the following information:

“Inputs” means the information you voluntary provide to the AI Assistant. This may include name, email address, phone number, company name, shipping and delivery information, sample request details, and any other information you include in chat Inputs.

“Outputs” means the information generated by the AI Assistant. This may include request summaries and internal order sheets created from and including Inputs and recommendations or suggested alternatives based on Inputs.

The Outputs and Inputs, together with any feedback you provide, are, collectively, your “Content”.

Messaging and technical information

Roland Foods and its service providers may collect messaging-related and technical information associated with AI Assistant usage, such as your phone number, message content, date and time of messages, delivery status, and device or carrier-related information. If you click links provided through the AI Assistant and interact with Roland Foods’ Website, Roland Foods may also collect technical information (including IP address) and website-related information as described in the Roland Foods Privacy Policy and Cookie Policy.

PURPOSES OF USE

Roland Foods may use Content collected through your interactions with the AI Assistant to prepare, route, and process Sample Requests; communicate with you regarding your request and related questions; provide customer service and troubleshooting; monitor and improve AI Assistant quality, reliability, and security; maintain business records; and comply with legal obligations and protect rights and safety.

These purposes align with the Privacy Policy’s general description of using information to respond to requests or inquiries and support site operations.

THIRD PARTY DISCLOSURE

Roland Foods may share personally identifiable information with agents and contractors for specific services and may disclose information when required by law or in the context of corporate transactions, with confidentiality commitments as described in Roland Foods’ Privacy Policy.

In connection with the AI Assistant, Roland Foods may disclose AI Assistant information to: (i) service providers and contractors that help operate the AI Assistant and related business systems, solely to provide services to Roland Foods; (ii) shipping and logistics partners where necessary to deliver samples; and (iii) legal or regulatory recipients where required or appropriate under the Privacy Policy framework. This may include text messaging platform providers, cloud hosting providers, and AI technology providers that support operation of the AI Assistant, in each case solely to provide services to Roland Foods.

HUMAN REVIEW OF CHATS

AI Assistant interactions may be logged and reviewed by authorized Roland Foods personnel and/or service providers for customer service, request processing, quality assurance, troubleshooting, security monitoring, and misuse prevention.

SECURITY MEASURES

Roland Foods employs reasonable and appropriate safeguards as described in the Privacy Policy and cannot guarantee absolute security. No method of transmission or storage is completely secure.

DATA RETENTION

Roland Foods retains AI Assistant information for as long as reasonably necessary to fulfill and administer sample requests, maintain business records, support the AI Assistant, and comply with legal obligations.

UNITED STATES

Roland Foods operates the AI Assistant from the United States. Personal information may be transferred to and processed in the United States, including by third-party service providers.

SMS CARRIER DISCLAIMER

Message and data rates may apply. Your mobile carrier may collect, and process information related to your text messages in accordance with its own policies.

CALIFORNIA PRIVACY REQUESTS

Roland Foods’ California Privacy Policy describes CCPA rights request methods, including calling 800-221-4030 or emailing [email protected]. To exercise California rights regarding information collected through the AI Assistant, use those same channels.

CHILDREN’S PRIVACY

Roland Foods’ Privacy Policy states that features requiring submission of personally identifiable information are not intended for children under 16 years of age. The AI Assistant is likewise not intended for children under 16, and Roland Foods does not knowingly collect personal information from children under 16 through the AI Assistant.

UPDATES

This Addendum may be updated consistent with the Privacy Policy’s “effective upon posting” approach.
